A clipboard is fine until forty people arrive at once. Each athlete has a code, a phone at the door reads it, and the arrival is recorded with a timestamp against the right session — which turns the queue at a camp drop-off into something that moves, and leaves you with a record you can actually rely on.
A volunteer at the door scans, the athlete is checked in, and the list on screen updates as people arrive. There is no paper sheet being passed between two entrances, no name being ticked twice, and no five-minute delay while somebody finds the right page on a printout.
Because the scan is timestamped and tied to the athlete and the session, the record is accurate in a way a handwritten sheet never is. You know who arrived, when they arrived, and who did not — and the same record is the session’s attendance, so nothing is entered twice.
It works for anything where people arrive at a time and a place: game-day team check-in, a week of camp with several sessions a day, a tournament with teams coming from out of town, a training block with staffing ratios to keep. The code does not change, only what it is checking you into.
Any time more than twenty people arrive in ten minutes, the clipboard is the bottleneck.
A hundred children arriving in a fifteen-minute window, checked in by two volunteers, with staffing ratios visible per session as the numbers land.
Check in the squad before a fixture so the line-up and the eligibility picture are settled before the game rather than argued afterwards.
Teams arriving from out of town at several venues, all checking in against the same event, so the organizer knows who is actually on site.
A standing block of sessions where the scan quietly builds an attendance history nobody has to maintain by hand.
A code tied to them in the app, presented at the door. A volunteer scans it with a phone and the check-in is recorded against the right session.
No. A phone with the app is the scanner, so a club can run check-in at two entrances without buying anything.
Yes. The scan is timestamped and becomes the session’s attendance, so you are not taking attendance and checking people in as two separate jobs.
They can be checked in manually from the roster. The scan is the fast path, not the only one.
Yes. Several staff can scan at once at different entrances, and the live list stays consistent because they are all writing to the same session.
Yes. The session shows who has checked in and who has not, which is the question that actually matters at a camp drop-off.
