A season generates a surprising amount of paper, and all of it matters at the worst possible moment. Waivers, medical forms, birth certificates, proof of address and coaching certificates are uploaded once, stored against the athlete or staff member they belong to, and visible to the handful of people who are supposed to see them.
Upload documents and store them against the athlete, the team or the staff member they belong to, rather than in a shared drive folder somebody named in 2022. A waiver signed during registration is already there; anything collected afterwards goes to the same place, so there is one answer to “where is that form?”
This is sensitive material, so access follows role. An administrator can see what they need to run the organization, a coach sees only what is relevant to their team, and a parent sees their own family’s documents and nothing else. Nobody is emailing a medical form to somebody who should not have it.
The point of collecting paperwork is being able to produce it. An outstanding-documents view shows who is still missing something before the season starts, and when an insurer, a governing body or a parent asks for a signed waiver, you find it in seconds instead of searching an inbox.
The paperwork that has to exist, and that nobody wants to be looking for on a Saturday morning.
Attached to the registration form and accepted before a family can finish, so consent is recorded at the moment it was given rather than chased afterwards.
Allergies, medications and emergency contacts held against the athlete and visible to the staff who would need them if something happened.
Birth certificates, proof of address and transfer clearances, so an age-group or residency question is settled by a document rather than an argument.
Coaching badges, first-aid certificates and safeguarding records for the adults around your athletes, with the expiry date visible.
Most arrive with registration — a waiver accepted in the sign-up flow is stored automatically. Anything else is uploaded against the athlete or staff member it belongs to.
Only the roles you give access to. Documents are sensitive, so visibility is controlled deliberately rather than shared with everyone who can open a roster.
Yes. An outstanding view shows which athletes have not returned a required document, so you can clear it before the first game rather than during it.
It shows on the roster. Required documents feed the eligibility view, so a player who is not cleared is visible before a game rather than after a result is questioned.
Yes. A family can supply what is needed from their own account, which is faster than a coach collecting paper at a session and photographing it.
They stay with the person. An athlete’s record carries across seasons, so you are not re-collecting the same birth certificate every year.
