A board meeting in March should not begin with someone exporting three spreadsheets and trying to make them agree. Revenue by program, outstanding balances, store orders and payouts are all built from the payments as they are collected, so the financial picture is current while the season is still running.
Reporting is live, not assembled. Every registration fee, invoice payment and store order feeds the numbers as it clears, so what you are looking at is current rather than as of whenever the last export was taken. That matters most in the middle of a registration window, when the picture changes daily.
Look at the organization as a whole, then break it down — by program, by division, by season, by location. That is how you find out which programs actually pay for themselves and which are being carried, which is a harder question to answer than total revenue and a more useful one.
When your treasurer, your board or your accountant wants the year, export it. The underlying transactions are there with dates, amounts, methods and what each payment was for, so the export is a record you can hand over rather than a summary someone has to take on trust.
Not “how much came in” — the questions a board actually asks halfway through a season.
Revenue split by program and division, so a well-attended league and a clinic that barely breaks even are visible as different things rather than one total.
Outstanding balances across payment plans and invoices, so you know what is still to come before you commit to spending it.
Set this season against the last to see whether registrations, revenue or retention actually moved, rather than relying on an impression.
For organizations running more than one site, each location reports separately and rolls up into one organization-wide figure.
Yes. Payments feed the reports as they are collected, so the figures reflect what has actually cleared rather than the last time someone ran an export.
You can — by program, division, season and location. That is usually more useful than the organization total, because it shows which parts of the season carry the rest.
Yes. Registration fees, payment plan instalments, invoices and team store orders all feed the same reporting, so there is no revenue sitting outside the picture.
Yes. Transaction-level data with dates, amounts, methods and what each payment was for can be exported when you need it outside Ligue.
Yes. Outstanding balances across payment plans and invoices are reported per family and per program, so you can act on them before the season ends rather than after.
Only the people you give access to. Financial visibility is controlled by role, so a coach with roster access does not automatically see revenue.
